Khata app vs billing software: the short answer
Here's the honest version of khata app vs billing software. A free khata app is a great tool for walk-in credit. A kiryana store, a pharmacy or a hardware shop gives goods on udhaar, writes it down and collects later. The khata app replaces the paper register and lets you send a reminder from your phone.
Billing software is for a different pattern: the same customers owe you every month. School fees, gym memberships, rent, internet, cable, water, society maintenance and instalments. Here the work isn't writing down credit. It's four jobs every month: creating the bill, reminding people, taking the payment and updating the khata. Recurring billing software does all four by itself.
What a khata app does well
Let's give khata apps their due. For the job they're built for, they're very good.
- Free or cheap. Many cost nothing to start.
- Quick to learn. Add a customer, add an amount, done. Anyone at the shop can use it.
- Made for odd amounts. Rs 340 today, Rs 1,200 next week. Walk-in udhaar is never the same twice.
- Reminders from your phone. You can share a balance with a customer in a couple of taps.
- Better than paper. No torn pages, no smudged totals, and the record lives on your phone.
When the same customers owe you every month
Now picture a tuition academy with 150 students, or an internet provider with 400 connections. The same people owe roughly the same amount on the same date, every month. A khata app can store that, but you do all the work:
- On the 1st, you add a new entry for every single customer by hand.
- You send reminders one chat at a time from your own WhatsApp.
- Customers transfer money and send a screenshot. You open your bank app and check each one.
- You find the right customer and mark them paid, one by one.
- Late fees and part payments are worked out in your head, a little differently each time.
- Receipts only go out if you remember to send them.
A khata app records what you tell it. It doesn't create anything by itself. With monthly customers, that's the whole problem.
Recurring billing turns it around. The bill is created every month by itself. It goes out on WhatsApp with a Billing ID. The customer pays from their own bank app or wallet, the payment posts to their khata, and a receipt goes back to them. You check the list of who hasn't paid instead of building it.
Side by side
| Free khata app | Recurring billing software | |
|---|---|---|
| Best for | Walk-in udhaar at a shop | Same customers paying every month |
| How entries get made | You type each one | Bills are created every cycle by themselves |
| Amounts | Different each time | Fixed or plan-based, with late fees, part payments and advances handled |
| Reminders | Shared from your own phone | Sent on WhatsApp from a verified business number |
| How customers pay | Cash, or a transfer to your account plus a screenshot | A Billing ID they can pay from almost any bank app or wallet (with 1BILL) |
| Marking payments | You mark each one paid | Payment posts to the customer's khata by itself |
| Receipts | If you remember to send one | Sent on WhatsApp after each payment |
| Several staff | Usually one phone, one person | Staff logins with roles and permissions |
| Owner view | A list of who owes what | Monthly collections, pending dues and new customers |
| Cost | Free or low cost | Monthly subscription |
Signs you've outgrown your khata app
- You retype the same bills for the same people every month.
- The 1st of the month means a whole day of adding entries.
- Reminders go from your personal WhatsApp, one chat at a time, and it feels awkward every time.
- You compare screenshots with your bank app to see who actually paid.
- "Bhai, maine pichle hafte pay kar diya tha" arguments take ages to settle.
- Late fees are worked out in your head, and different staff charge different amounts.
- More than one person collects money, but the khata lives on one phone.
- You don't know this month's total collection until you sit down and count.
- Someone on your staff leaves, and the customer chats go with their phone.
Two or three of these? It's time to look at recurring billing. See what a digital khata for business does differently.

Which app is best for khata?
People searching for the best khata app in Pakistan are often after two different things. The answer depends on what's in your khata.
- Mostly walk-in udhaar? Pick a simple free khata app. Look for one that backs up your data, sends reminders in Urdu and lets you export your records.
- Mostly monthly customers? You need billing software with a khata built in. Look for bills that create themselves, a Billing ID for each customer, reminders through the WhatsApp Business API and payments that post by themselves.
- A mix of both? Use both. More on that below.
How to move from a khata app to billing software
Switching doesn't mean losing your history. Do it on a clean date and it takes very little effort.
- Pick a start date. The 1st of next month is simplest.
- Settle the balances. Note what each customer owes, or has paid in advance, on that date. Sort out any disputes first.
- Make one list. Names, WhatsApp numbers and what each customer pays each month, in one sheet.
- Tell your customers. Let them know bills will now come on WhatsApp with a Billing ID. There's a message you can copy below.
- Keep the old app. Leave it untouched for a few months in case anyone asks about an old entry.

Assalam o Alaikum! Shukriya, [Your business name]
When to keep both
Plenty of businesses have both patterns. A milk shop has walk-in buyers and monthly home delivery. A water supplier sells bottles at the counter and supplies homes every week. A gym sells shakes and runs monthly memberships.
In these cases, there's nothing wrong with keeping the khata app for counter credit and using billing software for the monthly customers. Each tool does the job it was built for. Just make sure the same customer's monthly bill isn't in both places.
