What the best water delivery software in Pakistan should do
Most water businesses in Pakistan run on a driver's diary and a khata at the plant. The driver drops bottles all day and writes some of it down. At month end, someone adds it up, makes bills and starts calling. Customers say they got fewer bottles. Empties don't come back. Cash collected on the round doesn't match what the diary says.
None of that is a billing problem. Printing an invoice is easy. The hard part happens at the door, and that's where the software has to help.
Good water delivery software does four jobs: recording deliveries on the round, keeping count of bottles, turning deliveries into accurate monthly bills and collecting the money. The checklist below is neutral. Use it on every vendor, including us.
The water delivery software checklist: 10 things to test
Take this table to every demo. Better still, ask to try the staff app yourself for a few deliveries. A driver will use it fifty times a day, so it has to be simple.
| Capability | Why it matters | What to test in the demo |
|---|---|---|
| Deliveries recorded at the door | Deliveries written from memory at night are where most disputes start. | Record three deliveries on the staff app yourself and see them appear straight away. |
| Works on a weak signal | Basements, back streets and load-shedding all mean patchy internet. Work can't stop. | Turn off mobile data, record a delivery, turn it on and check it arrives. |
| Bills built from actual deliveries | If month-end bills are typed by hand, you're back to the calculator and the arguments. | Ask to see a customer's monthly bill and the deliveries it was built from. |
| Flexible charging | Some customers pay per bottle, some per litre, some a fixed monthly amount. Offices and homes rarely pay the same way. | Set up one per-bottle customer and one monthly customer and compare their bills. |
| Bottle balance per customer | Every bottle that doesn't come back is money gone. You need to know who is holding yours. | Ask to see how many of your bottles one customer is holding right now. |
| Customers organised by area | Deliveries, reminders and dues make more sense area by area, the way your drivers already think. | Ask for pending dues for one area only. |
| Online payment from any bank app or wallet | Less cash on the round means less cash that goes missing. | Pay a small test bill from your phone and see how fast the balance updates. |
| WhatsApp bills and receipts from your own number | Customers trust your brand's name. A receipt after every payment ends most "I already paid" calls. | Ask which number sends bills and whether receipts go out by themselves. |
| Driver logins, attendance and salaries | Each driver should see only what they need, and their pay should sit next to their work. | Ask to see a driver's login and what it can't change. |
| Owner reports and your data | You should see this month's sales, pending dues and trends on your phone, and keep your customer list if you leave. | Ask for a month-on-month view and how you'd export your customers. |
Mineral water plant, RO plant or tanker: what changes
Water businesses in Pakistan come in a few shapes. The basics are the same, but each one leans on different parts of the software.
Mineral water plant software (19-litre bottle delivery)
If you deliver branded 19-litre bottles to homes and offices, the bottle itself is your biggest hidden cost. Each one is money sitting at someone's house. Your software needs to record deliveries and keep a bottle balance for each customer, so you know whom to ask when stock runs short. Monthly billing for offices and per-bottle billing for homes are both common.
RO plant billing software
Many RO plants sell at the counter during the day and run a few home-delivery accounts on the side. The delivery accounts are where money leaks, because they run on credit. Look for software that handles the regular accounts properly: deliveries, monthly bills, reminders and payments. Walk-in counter sales with no account are a different job and may not need billing software at all.
Water tanker billing
Tanker services usually bill per trip or per litre, often to the same households, shops and construction sites every month. The risk is trips that never get written down and drivers who collect cash on site. Each trip should be recorded when it happens, and the monthly bill should be built from those trips.
Water supply billing software for piped connections
Small piped schemes and society water supplies bill on usage, a flat rate, or both. Here the software is closer to a utility billing system: every connection gets a monthly bill, reminders and a running balance, organised by area.
Where water businesses really lose money
Before you compare vendors, it helps to know where your own business leaks. For most suppliers it's some mix of these:
- Deliveries nobody wrote down. A bottle dropped in a hurry, never billed.
- Empties that never came back. Bottles that sit in someone's store room for months.
- Disputed bills. The customer says thirty, the driver says forty, and you give up the difference to keep the customer.
- Cash on the round. Money collected at the door that doesn't match the diary.
- Late payers nobody follows up. Small balances that turn into months of dues.
- Knowledge in one driver's head. When he leaves, nobody else knows the customers.
Software won't fix all of it overnight, but recording deliveries as they happen, keeping a bottle balance, building bills from real records and moving payments online closes most of the gaps. Ask any vendor which of these problems their system actually solves, and ask them to show you. For the payment side, our guide to collecting payments online in Pakistan explains what your customers see.
Questions to ask any water delivery software vendor
- Can drivers record deliveries on a phone at the door, and is it simple enough for staff who don't read much?
- What happens when the internet drops in the middle of a round?
- Are monthly bills built from recorded deliveries, or typed in separately?
- Can I charge per bottle, per litre and a fixed monthly amount for different customers?
- How do I see how many of my bottles each customer is holding?
- Can I organise customers by area and see dues area by area?
- How do customers pay: from any bank app or wallet, or by cash and screenshots?
- Are bills and receipts sent on WhatsApp from my own verified business number? Who pays for the messages?
- Can drivers have their own logins with limited permissions? Can I track their attendance and salaries?
- What's the full monthly price in rupees for my business, and what costs extra?
- Who sets it up and trains my drivers? Do you come to my city?
- How do I get my customer list back if I leave?

Water delivery software price in Pakistan: what drives it
Prices vary because vendors bundle different things. Find out what each quote covers before you compare. These are the usual drivers:
- Size of the business. Many vendors charge more as customers or drivers grow.
- Staff app users. Some plans limit how many drivers or staff can use the app.
- WhatsApp messages. Official business messaging costs money. Ask whether messages are included, capped or billed on top.
- Setup and training. Bringing in your customer list and old balances, and training drivers, takes time. Ask whether it's included.
- Phones. Drivers need a basic Android phone. Ask whether the app runs on cheaper handsets.
- Add-ons. Some vendors sell extra modules on top of the base price. Ask what the base price leaves out.
Wasooli.Online plans start from Rs 10,000 per month. Bigger packages give more room as your business grows, and we send an exact written quote for your size. Send us a few details on WhatsApp, or see pricing.
Red flags when choosing water delivery software
- Deliveries entered at the office at night, not on the round.
- The staff app stops working when the signal drops.
- Monthly bills typed in by hand, separate from delivery records.
- No way to see which customer is holding your bottles.
- Customers told to send money to a personal account and share a screenshot.
- No price in rupees until after several calls.
- A long contract before your drivers have tried it on a real round.
- No clear way to get your customer list back if you leave.
Where Wasooli.Online fits
Wasooli.Online is built for Pakistani businesses that serve the same customers every month, and water suppliers, RO plants and tanker services are one of the main ones. Here's what it covers for a water business:
- Deliveries. Drivers record deliveries and payments on the staff app as they happen, even on a weak signal. Every customer's delivery history sits in one place, organised by area.
- Bottles. A bottle balance for every customer, so you can see who is holding your bottles and lose fewer of them.
- Bills and payments. Monthly bills built from actual deliveries, charged per bottle, per litre or monthly. Every customer gets a Billing ID they can pay through 1BILL from almost any Pakistani bank app or wallet, plus Raast.
- WhatsApp. Bills, reminders and receipts in Urdu or English from your own verified business number, with a shared team inbox and an AI assistant for common questions.
- Staff, cash and reports. Staff logins with their own permissions, staff attendance and salaries, a daily cashbook, expenses and vendor payments, owner reports on your phone, and the Medio app where customers see bills and pay. Wasooli.Online is also fully integrated with FBR and PRA (Punjab).
When something else fits better
- You mainly sell at the counter to walk-in customers. A shop POS fits that better. You can still use billing software for the delivery accounts.
- You need plant production, filter maintenance and lab test records. Look at a plant or production system. Wasooli.Online focuses on customers, deliveries and money.
- You sell wholesale to a few distributors. Simple invoicing or a digital khata may be all you need.
We have offices in Lahore and Rahim Yar Khan and work with water businesses across Pakistan, with support in Urdu and English. Setup help and a free demo are part of getting started.
