What the best gym management software in Pakistan should do
Most gyms start with a register at the front desk and a WhatsApp group. It works until it doesn't. Fees slip by a week, then a month. Someone lends their card to a friend. The door opens for people whose fee ran out weeks ago, and the owner can't tell this month's collection without sitting down to count.
The best gym management software in Pakistan fixes four jobs: collecting fees, controlling the door, tracking attendance and running staff. Flashy extras don't matter if those four aren't solid. The checklist below is neutral. Use it on every vendor, including us.
The gym software checklist: 10 things to test
Take this table to every demo. Ask the vendor to show each item working, not just say yes.
| Capability | Why it matters | What to test in the demo |
|---|---|---|
| Biometric or face attendance | A fingerprint or a face can't be lent to a friend the way a card can. You get real attendance for customers and staff. | Check in with a real finger or face and watch it show up in the software. |
| Door lock that follows fee status | If the door opens for everyone, your desk has to argue with people whose fee is overdue. When access follows payment, the reader does it quietly. | Mark a test fee unpaid and try the door. Pay it, then try again. |
| WhatsApp Business API reminders | Bulk reminders from a personal number can get it restricted, and the chats leave when that staff person leaves. | Ask which number sends reminders and whether it's a verified business number. |
| 1BILL and Raast collection | Customers pay from their own bank app or wallet. No screenshots to check, no cash to count. | Pay a small test bill from your own phone and see how fast the account updates. |
| Membership freeze | People travel, get injured or go for Umrah. Without a freeze, you either lose the fee or argue about it. | Freeze a test membership and check the expiry date moves forward. |
| Trainer and staff salaries | Trainer pay often depends on attendance and advances. If salaries live in another notebook, your cash never matches. | Ask to see staff attendance and salary in the same place as fees. |
| Owner reports | You should see this month's collection, pending dues and new joins without counting. | Ask for the pending dues list and a month-on-month collection view. |
| PKR pricing published | If you can't see a price in rupees, you can't compare. Dollar pricing can move with the exchange rate. | Ask for the full monthly price in rupees, in writing. |
| Phone app and offline use | Owners and staff aren't always at the desk, and the internet does drop. | Ask what staff can do from a phone, and what happens when the internet goes down. |
| Data ownership | Your customer list is your business. You should be able to take it with you. | Ask how you'd export your data and what happens to it if you leave. |
Gym biometric system and door access
A gym biometric system has two parts: the reader on the wall and the software behind it. The reader recognises a fingerprint, a face or a card. The software decides what happens next.
Fingerprint, face or card?
- Fingerprint readers are common and well understood. Dry, worn or sweaty fingers can slow them down at busy times.
- Face readers are touch-free and quick in rush hours. Good lighting at the entrance helps.
- Cards are cheap and fast, but people lend them to friends. Many gyms keep cards for staff or as a backup.
Whatever you pick, check that your software supports that exact reader before you buy it. Wasooli.Online works with ZKTeco and Hikvision readers for fingerprint, face and card.
Gym software with door access
The reader can also control the door or turnstile. The useful part is when access follows the fee. When a membership expires or a fee is overdue, the door stops opening for that person, and it opens again once they pay. Your staff don't have to play the bad guy.
Ask any vendor three things about door access. What happens when someone pays late at night? What happens when the internet drops? Can staff open the door by hand, and is there a record of who did it?
WhatsApp reminders: official API or a personal number?
Nearly every gym sends fee reminders on WhatsApp. The question is how.
Many gyms send them from a staff phone or the free WhatsApp Business app. That's fine for a few messages. But WhatsApp's rules don't allow automated bulk messages from those apps, and a number that sends the same text to many people can get restricted. When the staff person leaves, the chats often leave with them.
The official WhatsApp Business API is built for bills, reminders and receipts. Messages come from a verified business number, and several staff can reply from that one number. It's paid: Meta charges per message for business-started messages like reminders, and the rate depends on the type of message (as of September 2026). Our guide to WhatsApp Business API cost in Pakistan explains how it works.
Questions to ask any gym software vendor
- Which biometric readers do you support, and can I use the one I already have?
- Does the door stop opening when a fee is overdue, and open again once it's paid?
- What happens at the door if the internet goes down?
- Are reminders sent through the official WhatsApp Business API from my own verified number? Who pays for the messages?
- How do customers pay: a Billing ID through 1BILL, Raast, or a transfer to my personal account?
- When someone pays late at night from their bank app, how soon do their account and door access update?
- Can I freeze a membership and have the expiry date move forward?
- Can I track trainer and staff attendance and pay salaries in the same system?
- Can front desk staff have their own logins with limited permissions, so they can't delete payments?
- What's the full monthly price in rupees for my number of customers and readers? What's extra?
- Who installs the readers and sets up the software? Do you come to my city?
- How do I get my customer list back if I leave?

Gym software price in Pakistan: what drives it
You'll see very different prices for gym software in Pakistan, because vendors charge for different things. Before you compare, find out what each price includes. These are the usual drivers:
- Number of customers. Many gym software prices rise as your active customer count grows.
- Readers and devices. Each fingerprint or face reader, turnstile or door lock adds hardware cost, and sometimes a software charge. Ask whether readers are included or bought separately.
- WhatsApp messages. The official API costs money per message. Ask whether messages are included, capped or billed on top.
- Staff logins. Some plans limit how many staff can sign in.
- Setup and installation. Fitting readers, wiring a door lock, bringing your old records in and training staff all take time. Ask what's included and whether travel to your city costs extra.
- AI features. Automatic replies to customer questions may sit on higher plans.
Wasooli.Online plans start from Rs 10,000 per month. Every feature is on every plan. Plans differ by capacity: the number of customers, staff logins, readers, WhatsApp messages and AI. Send us your numbers on WhatsApp for an exact quote, or see pricing.
Red flags when choosing a gym management system in Pakistan
- No price in rupees until after several calls and a visit.
- Reminders sent from a personal SIM or from someone else's number.
- Customers told to send money to a personal account and share a screenshot.
- Staff can open the door or delete a payment with no record of who did it.
- Readers sold without a clear answer on which software supports them.
- Everything runs on one desk computer, and nothing works on a phone.
- A long contract before you've seen it work properly at your own gym.
- No clear answer on how you'd get your customer list back if you leave.
Where Wasooli.Online fits
Wasooli.Online is built for Pakistani businesses with monthly customers, and gyms are one of the main ones. Here's what it covers for a gym:
- Monthly fee bills made every cycle by themselves, with late fees, part payments and advances handled.
- A Billing ID for every customer, payable through 1BILL from almost any Pakistani bank app or wallet, plus Raast.
- Bills, reminders and receipts on WhatsApp in Urdu or English from your verified business number, with a shared team inbox and an AI assistant for common questions.
- Biometric attendance and door access with ZKTeco and Hikvision readers (fingerprint, face and card). Access can follow membership and payment status.
- Membership freeze and gym lockers.
- Staff attendance and salaries, a daily cashbook, and expenses and vendor payments.
- A staff app on mobile with roles, permissions and OTP sign-in, and the Medio app for your customers to see bills, pay and check their history.
- Owner reports on month-on-month collections, pending dues, new customers and attendance.
When something else fits better
- You mainly sell supplements and drinks at a counter. A shop POS is built for that. You can run one next to your gym software.
- You mostly want workout plans and diet charts for clients. Look at a fitness coaching app. Wasooli.Online focuses on fees, access, attendance and staff.
- You're a very small gym run by one person. A register and a basic reader might be enough for now. Come back to this checklist when you grow.
We have offices in Lahore and Rahim Yar Khan and work with businesses across Pakistan, with support in Urdu and English. Setup help and a free demo are part of getting started.
