What the best school fee management software in Pakistan should do
Walk into most school offices in Pakistan in the first week of the month and you'll see the same thing. A stack of challan books from the printer. A clerk writing names and amounts by hand. Parents calling to ask how much they owe because the challan got lost in a school bag. Then the stamped bank copies come back, and someone spends days matching them against a register.
It gets worse in April, when the new session starts. Admissions, annual charges, new classes, promotions and leavers all land in the same few weeks. By the time the office catches up, it's May and half of April's fee is still pending.
Good school fee software takes care of four jobs: making challans, getting paid, following up with defaulters and reporting to the owner or principal. Exams, timetables and report cards are a different kind of software, and we cover that below. The checklist here is neutral. Use it on every vendor, including us.
The school fee software checklist: 10 things to test
Print this table and take it to every demo. Ask the vendor to show each item working on screen. A yes on the phone isn't the same as seeing it.
| Capability | Why it matters | What to test in the demo |
|---|---|---|
| Automatic monthly and term challans | If someone still has to make challans by hand, you've only moved the register onto a computer. | Ask them to show next month's challans being made for a whole class without anyone typing amounts. |
| Fee structure by class and section | Nursery and Class 9 don't pay the same fee. The right amount should follow the student's class. | Set up two classes with different fees and check each student gets the right one. |
| Sibling billing and concessions | Three children from one family, a staff child and a scholarship student are normal in every school. Errors here upset parents fast. | Add two siblings and a concession, then look at what each parent will actually receive. |
| Online payment from any bank app or wallet | Parents can pay at night from their phone instead of taking leave to visit one bank branch. | Pay a small test fee from your own phone and see how quickly the student's balance updates. |
| WhatsApp notices from the school's own number | Parents trust a message with the school's name on it. Notices from a teacher's phone get lost when that teacher leaves. | Ask which number the notices come from, and whether they can go out in Urdu as well as English. |
| Defaulter list by class | The principal needs to know which students in which class are behind, not a long list sorted by roll number. | Ask for this month's defaulters for one class, with how long each one has been pending. |
| Late fees and part payments | Some parents pay half now and half after salary. If the software can't handle that, the balance goes wrong. | Record a part payment and check the remaining amount carries over correctly. |
| Admissions, promotions and leavers | Each new session moves every student up a class. Leavers should stop getting challans. | Ask them to promote a class and mark one student as left, then check next month's challans. |
| Staff logins with limited permissions | The fee clerk shouldn't be able to delete a payment or change a fee without the owner knowing. | Ask to see a clerk's login and what it can't do. |
| Owner reports and your data | You should see collection, pending fees and month-on-month trends on your phone, and take your data with you if you leave. | Ask for a month-on-month collection view and ask how you'd export your student list. |
School management system or school fee software: which do you need?
When people search for the best school management software in Pakistan, they often mean two different things. It helps to be clear which one you're buying.
- A full school management system (often called a school ERP) covers the academic side: timetables, exams, result cards, homework, diaries and sometimes online classes. Fee collection is usually one module among many.
- School fee management software focuses on the money: challans, payments, reminders, defaulters and reports. It's built to get the fee in on time.
Many schools find that the fee module inside a big ERP only records payments. It doesn't actually collect them. Parents still pay at a bank, someone still matches stamped copies, and reminders still go out by phone. If fees are your biggest headache, test the fee side on its own, as hard as you'd test a dedicated fee system.
Some schools run both: an academic system for results and a fee system for money. That's fine, as long as you know who is responsible for what and the student list stays in sync when admissions happen.
Fee challan software: paper challan vs a Billing ID
The classic school challan has three or four copies: one for the bank, one for the school, one for the parent. The parent takes it to one particular bank, waits in line, gets it stamped and brings a copy back. Weeks later, the school's accountant matches stamped copies against the bank statement. Lost copies, wrong amounts and late stamps all end up as arguments at the reception.
Fee challan software changes the payment step. With Wasooli.Online, each student gets a Billing ID. Parents can pay it through 1BILL from almost any Pakistani bank app or wallet, including JazzCash and Easypaisa, or through Raast. The payment lands against the right student by itself, and the parent gets a receipt on WhatsApp. Nobody matches stamped slips.
Some parents will still want to pay cash at the school office, and that's fine. The point is that every payment, online or cash, lands in the same record, so the defaulter list is always right. Our guide to collecting payments online in Pakistan explains the payer's side in plain words.
Plan for the April rush
Session start is the real test of any school fee system. In a few weeks you may need admission charges, annual charges, new class fees, sibling changes and leavers, all at once. Ask any vendor to walk you through what April looks like in their software, step by step. If the answer is "you'll manage it in Excel first", that's your answer.
Late fees parents accept
A late fee only works if it's clear, written and applied the same way to everyone. The software should apply it on the date you set, not when the clerk remembers. Our late fee policy guide has wording schools can adapt, and the fee receipt format guide shows what a receipt should include.
Questions to ask any school fee software vendor
- Are challans made automatically every month and every term, or does someone have to start each run?
- Can I set different fees for each class and section, and change them for the new session in one go?
- How do you handle siblings, staff children, scholarships and other concessions?
- How do parents pay: from any bank app or wallet, at one bank branch, or by sending money to a personal account?
- When a parent pays late at night, how soon does the student's balance update?
- Are fee notices sent on WhatsApp from my school's own verified number, in Urdu and English? Who pays for the messages?
- Can I see defaulters by class, and how long each one has been pending?
- What happens to part payments, advance payments and late fees?
- How do admissions, promotions and leavers work at the start of a new session?
- Can the fee clerk have a login that can't delete payments or change fees?
- What's the full monthly price in rupees for my school, and what costs extra?
- Who brings my existing student and fee records in, and how do I get them back if I leave?
Want to see it with your school's own classes?

School software price in Pakistan: what drives it
Prices for school software in Pakistan vary a lot, mostly because vendors bundle different things. A quote that looks cheap may leave out the parts you need most. These are the usual drivers:
- Size of the school. Many vendors charge more as student numbers grow, or for each extra campus.
- Modules. A full ERP with exams, timetables and homework costs more than a fee system. Ask which modules you're paying for and which you'll actually use.
- WhatsApp messages. Official business messaging costs money. Ask whether messages are included, capped or billed on top.
- Staff logins. Some plans limit how many office staff, teachers or accountants can sign in.
- Setup and data entry. Bringing in student records from Excel or old registers, setting fee structures and training staff takes time. Ask whether it's included.
- Hardware. Attendance machines, printers and computers are often extra. Ask what you need to buy.
Wasooli.Online plans start from Rs 10,000 per month. Bigger packages give more room as your school grows, and we send an exact written quote for your size. Send us a few details on WhatsApp, or see pricing.
Red flags when choosing a school fee management system
- No price in rupees until after several meetings.
- Parents told to send fees to a personal account and share a screenshot.
- Challans still need to be made by hand, just on a computer.
- Fee notices sent from a staff member's personal number.
- The fee clerk can delete a payment and nobody would know.
- Sibling and concession discounts handled "manually for now".
- No clear answer on what happens at session change in April.
- A long contract before you've seen it work with your own classes.
- No clear way to get your student list back if you leave.
Where Wasooli.Online fits
Wasooli.Online is built for Pakistani businesses that bill the same people every month, and schools, academies and tuition centres are a big part of that. Here's what it covers for a school:
- Challans and fees. Monthly and term fee challans made automatically for every student, for every student, class or batch. Each student can carry their own fee amount, so a discount or concession shows on every bill without anyone remembering it. Late fees and part payments are handled.
- Payments. Every student gets a Billing ID that parents can pay through 1BILL from almost any Pakistani bank app or wallet, plus Raast. Payments show against the right student and a receipt goes out on WhatsApp.
- Parents on WhatsApp. Fee notices, reminders and receipts in Urdu or English from your school's own verified number.
- Staff and cash. Teacher and staff attendance and salaries, and a daily cashbook for school expenses.
- Reports and apps. Defaulter lists by class, month-on-month collection reports on the owner's phone, staff logins with their own permissions, and the Medio app where parents can see bills and pay.
When something else fits better
- You mainly need exams, result cards and timetables. A school ERP built for the academic side fits better. You can still run fee collection separately if fees are a problem.
- You want homework, diaries and online classes for parents. Look at a learning or school communication app. Wasooli.Online focuses on fees, payments and staff.
- You teach 15 students at home. A register and a WhatsApp reminder may be enough for now. If you run a bigger academy, see tuition academy fee software.
