What the best plaza management software in Pakistan should do
Collecting maintenance in a commercial plaza in Pakistan is a monthly fight. The management office pays guards, sweepers, lift maintenance, common-area lights and generator diesel on time. The shops don't. Some say business is slow. Some say the owner should pay, not the tenant. A few haven't paid since the last union election, and the office can't say exactly how much they owe.
Many buildings also collect rent. A family or builder that still owns shops or offices in the plaza needs rent from those tenants every month, on top of the service charge everyone pays.
Good plaza software does four jobs: billing every unit, collecting maintenance and rent, following up with defaulters and showing the management and the union clean accounts. The checklist below is neutral. Use it on every vendor, including us.
The plaza software checklist: 10 things to test
Take this table to every demo. Ask the vendor to set up one floor of your building while you watch, with a mix of shops and offices.
| Capability | Why it matters | What to test in the demo |
|---|---|---|
| Every shop, office and flat on record | A ground-floor shop and a fourth-floor office rarely pay the same. Each unit needs its own charge and balance. | Add three units on different floors, each with its own monthly charge. |
| Maintenance and rent kept straight | If service charges and rent get mixed, nobody can say whether a tenant is behind on rent or on maintenance. | Ask to see one tenant who pays both, and how each amount shows on their bill and ledger. |
| Automatic monthly bills | If the office has to make bills each month, they'll be late every time the accountant is on leave. | Ask them to make next month's bills for the whole building without typing amounts. |
| Online payment from any bank app or wallet | Shopkeepers pay from their phone at closing time. No collector walking the floors with a receipt book. | Pay a small test bill from your phone and see how fast that unit's balance updates. |
| WhatsApp bills and receipts from the plaza's number | Traders take a bill seriously when it comes from the plaza's own name, with a receipt straight after payment. | Ask which number sends bills and whether receipts go out by themselves. |
| Late fees, part payments and arrears | Many plazas carry years of old dues. A trader who pays half should see the right balance next month. | Load an old balance on a test shop, record a part payment and check the next bill. |
| Defaulter list | The union or management needs names, amounts and how long each one has been pending before the next meeting. | Ask for units pending more than three months. |
| Expenses and staff salaries | Traders ask where the maintenance goes. Guards, sweepers, repairs and diesel should all be on record. | Record a salary and a vendor payment and see them in the cashbook. |
| Staff logins with permissions | The office clerk shouldn't be able to waive a charge or delete a payment without management knowing. | Ask to see a clerk's login and what it can't change. |
| Tax-ready invoices and your data | Banks, pharmacies and company offices in your plaza may ask for proper invoices. And your records should be yours to export. | Ask which tax authorities the software is integrated with, and how you'd export your data. |
Maintenance charges and shop rent: two bills, one building
Most commercial buildings in Pakistan collect one or both of these. It helps to be clear which ones you collect before you look at software.
- Maintenance or service charges. Paid by every unit, usually a fixed monthly amount, to cover security, cleaning, lifts, common lights, water and the generator. This works much like a housing society's monthly maintenance.
- Rent. Paid by tenants to whoever owns the unit. If the plaza owner or builder still owns shops and rents them out, the same office often collects rent too. This works like rent collection for a building full of tenants.
Software that only handles one of these forces you to keep a second register for the other. Ask any vendor to show both on the same unit, with separate balances, before you decide.
Owner or tenant: who gets the maintenance bill?
This is the most common argument in Pakistani plazas. The shop owner says the tenant uses the services, so the tenant should pay. The tenant says it's the owner's building. Decide your rule, write it into the plaza's bye-laws or the rent agreement, and make sure the bill goes to the right person's WhatsApp. When the occupant changes, update the number on the unit so the next bill reaches the new person.
Generator, water and other shared costs
Some plazas add a generator or water charge during load-shedding months. If yours does, agree how it's worked out and put it in writing before the first bill. A fixed monthly service charge is the easiest to bill and the hardest to argue with. If you split a changing bill across units, ask any vendor to show you exactly how they would handle it.
Getting traders and the plaza union on your side
Most traders don't refuse to pay maintenance. They refuse to pay into something they can't see. A few habits change that:
- One due date for everyone, and the same late fee for everyone. Our late fee policy guide has wording you can adapt.
- A polite reminder before the due date, not a collector at the counter in front of customers. See our WhatsApp payment reminder messages.
- A receipt the moment money arrives, so nobody has to prove they paid.
- A simple monthly summary of what came in and what was spent, shared at the union meeting.
When the numbers are visible, the union stops arguing about whether the money is being used well and starts asking defaulters to pay.
Questions to ask any plaza management software vendor
- Can every shop, office and flat have its own monthly charge and its own ledger?
- Can the same unit carry both a maintenance charge and rent, with separate balances?
- Are monthly bills made automatically, on the date I choose?
- How do traders pay: from any bank app or wallet, or by cash to a collector?
- When a trader pays at night, how soon does their balance update?
- Are bills and receipts sent on WhatsApp from the plaza's own verified number, in Urdu and English? Who pays for the messages?
- How do you bring in old arrears, and how do late fees and part payments work?
- Can I record guard and sweeper salaries, repairs and diesel in the same system?
- Can the office clerk have a login that can't waive charges or delete payments?
- Which tax authorities is the software integrated with, for tenants who need tax invoices?
- What's the full monthly price in rupees for my building, and what costs extra?
- How do I get my records back if we leave, or if the management changes?

Plaza management software price in Pakistan: what drives it
Prices vary because vendors include different things. Find out what each quote covers before you compare. These are the usual drivers:
- Size of the building. Many vendors charge more as the number of units grows, or for each extra building.
- WhatsApp messages. Official business messaging costs money. Ask whether messages are included, capped or billed on top.
- Staff logins. Some plans limit how many office staff or union members can sign in.
- Setup and old records. Entering every unit, loading arrears and training the office takes time. Ask whether it's included.
- Add-ons. Some vendors sell tax invoicing, reports or extra modules on top of the base price. Ask what the base price leaves out.
Wasooli.Online plans start from Rs 10,000 per month. Bigger packages give more room as your building grows, and we send an exact written quote for your size. Message us on WhatsApp, or see pricing.
Red flags when choosing plaza management software
- Maintenance and rent mixed into one balance, so nobody can tell which is unpaid.
- Traders told to send money to a personal account and share a screenshot.
- Bills sent from the manager's personal phone.
- Old arrears "to be added later" with no plan for how.
- The office can waive a charge or delete a payment with no record of who did it.
- No clear answer on tax invoices for tenants who need them.
- No price in rupees until after several meetings.
- No clear way to get your records back if you leave.
Where Wasooli.Online fits
Wasooli.Online is built for Pakistani businesses that bill the same people every month. A commercial plaza is a mix of two things we already do: monthly maintenance like a housing society, and rent like a building full of tenants. Here's what it covers:
- Units and occupants. Every shop, office and flat with its occupant, monthly charge and full payment history, and the whole building on one screen.
- Maintenance and rent. Monthly maintenance and rent bills made automatically on the date you choose, with late fees, part payments and arrears handled. See plaza maintenance software and rent collection software.
- Payments. Every unit gets a Billing ID that occupants can pay through 1BILL from almost any Pakistani bank app or wallet, plus Raast. The payment lands on the right unit and a receipt goes out on WhatsApp.
- WhatsApp. Bills, reminders and receipts in Urdu or English from the plaza's own verified number, with a shared team inbox for traders' questions.
- Money out, tax and reports. Staff attendance and salaries for guards and sweepers, expenses and vendor payments, a daily cashbook, and pending-dues reports on your phone. Wasooli.Online is fully integrated with FBR and PRA (Punjab), and the Medio app lets occupants see bills and pay.
When something else fits better
- You run a large mall that charges rent as a share of each shop's sales. That needs sales data from every tenant's till, which is a job for a mall management system.
- You mainly need paid parking tickets. A parking system fits that better. You can still bill units separately.
- You need lease drafting, brokerage and legal records. A property management or legal tool fits that better. Wasooli.Online focuses on monthly bills and collection.
We have offices in Lahore and Rahim Yar Khan and work with buildings across Pakistan, with support in Urdu and English. Setup help and a free demo are part of getting started.
